This role serves as a key administrative resource, ensuring efficient communication, accurate documentation, and organized project support. Successful Construction Administrative Assistants demonstrate strong attention to detail, organization, adaptability, and the ability to manage routine tasks while supporting dynamic jobsite operations. **Essential Job Responsibilities** - Greet and assist **walk-in employees, subcontractors, vendors, and visitors** in a professional and timely manner - Answer and route inbound phone calls, responding to jobsite and project-related inquiries - Support **new hire onboarding**, orientation scheduling, badging, and paperwork coordination - Complete accurate **employee time entry**, payroll support, and recordkeeping for field personnel - Maintain project documentation including: - Project logs - Purchase orders and invoices - Equipment tracking logs - Subcontractor documentation - Assist Project Management and field leadership with administrative project support - Scan, upload, and organize project files using document management systems and imaging software - Maintain organized filing systems for compliance, safety, and project records - Support communication between field crews, management, and corporate departments **Minimum Qualifications** **Required** - 1–2 years of administrative, clerical, or office support experience (construction or industrial environment preferred) - Basic understanding of **HR and onboarding processes** within a construction or field operations setting - Proficiency with Microsoft Office Suite (Word, Excel, Outlook) - Ability to work in a fast-paced construction office supporting multiple priorities **Preferred** - Experience supporting construction projects, jobsite offices, or field operations - Strong organizational and time-management skills - Excellent attention to detail and accuracy - Effective communication and interpersonal skills with both office and field personnel - Ability to handle confidential employee and project information with professionalism and discretion **Physical Demands and Work Environment** The physical demands and work environment described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
