Business Operations

Job description

**Location:** San Francisco, CA **Type:** Full-Time **Work Arrangement:** In-person 5 days a week at our SF office **About Flai** **AI has transformed B2B SaaS, but has struggled to penetrate the real-world industries that shape our lives. Flai is building the leading AI-native communications platform for car dealerships.** A $1.3 trillion industry, auto dealerships sell 96% of the 16 million new cars sold each year. Yet they universally run on outdated systems and manual processes, which is why dealerships spend $36B each year on operations. That's our opportunity. We launched our first voice AI product a year ago. Since then, we have deployed multiple products across hundreds of dealerships across the U.S. We've partnered with the 2nd largest automaker in the country and many of the leading dealership groups. We've raised funding from leading VCs including First Round Capital, Toyota Ventures, Y Combinator, Innovation Endeavors, SV Angel, and Liquid 2. We've grown insanely quickly with a small, scrappy team and continue to move at that pace. **The Opportunity** Work closely with the founders and our team to help run and improve Flai's business operations. You'll take responsibility for important projects and day-to-day work across people operations, finance, and legal coordination. You'll solve unfamiliar problems, improve how things get done, and work with our accounting, legal, and payroll partners to keep things moving. This is a hands-on role with broad exposure to how a growing startup operates. As you learn the business and deliver results, you'll have opportunities to take on more complex projects and greater responsibility. **Who You Are** - You Figure Things Out: You can take an unfamiliar, loosely defined problem and turn it into a clear plan. - You Follow Through: You catch details and finish what you start without repeated reminders. - You're Comfortable With Numbers: You work confidently with spreadsheets, budgets, and financial information. - You Have Good Judgment: You handle sensitive information carefully and know when to make a decision or bring someone in. - You're Hands-On: You enjoy both improving a process and doing the work. - You Want the Pace: You're excited by a fast-moving, in-person environment with high expectations and meaningful responsibility. **What You'll Do** - Support people operations: Coordinate onboarding, benefits administration, payroll, and employee support with our team and external providers. - Keep finance and business operations running smoothly: Manage billing, collections, expenses, and payments alongside our accounting partners. Stay on top of vendors, contracts, and renewals. - Coordinate legal work: Work with our team and outside counsel to move contracts, corporate documentation, and other legal matters forward. Keep records organized and track deadlines and follow-ups. - Drive projects and improve processes: Take a problem, figure out what needs to happen, and see it through. Use AI and good judgment to reduce manual work and build better ways of working. **Requirements** - Typically 3–6 years of experience in business operations, strategy and operations, consulting, or a similar role (we're open to exceptional candidates with less) - A track record of implementing improvements and seeing projects through to completion - Strong organization, clear communication, and analytical ability - To move as quickly as we do, we work in person in San Francisco 5 days a week **Nice to Have** - Early-stage startup experience - Exposure to finance or people operations - Experience implementing tools or automations **What We Offer** - Competitive salary and meaningful equity - Close collaboration with the founders and room to grow - Medical, dental, and vision coverage - Flexible PTO and paid lunch every day - A very ambitious team where your work makes a visible difference
