As an Executive Administrative Assistant at Medtronic Surgical, you will serve as a trusted business partner supporting Commercial Excellence, Marketing, and Commercial Operations leadership. This role provides strategic administrative and operational support to one Vice President, one Senior Director, and two Directors across Commercial Excellence, Marketing, and Operations. You will help drive organizational alignment, communication, and execution through exceptional executive support, meeting management, communications, and operational coordination. Your expertise in managing complex priorities, facilitating leadership communications, coordinating high-impact meetings, and handling confidential information will enable leaders to focus on advancing strategic priorities and driving business results. You will play a critical role in fostering collaboration, engagement, and organizational effectiveness across the Surgical organization. Primary Responsibilities Proactively manage complex executive calendars across leaders, functions, and time zones; anticipate needs, resolve conflicts, and optimize leadership time Develop and distribute executive communications, including weekly updates, leadership announcements, organizational messages, and strategic content Manage the Commercial Excellence Teams channel, distribution lists, and related SharePoint resources, ensuring communications, meeting materials, recordings, and organizational resources remain current, accurate , and accessible Partner with leaders to develop executive-ready presentations, communications, reports, dashboards, and business materials that support organizational priorities and leadership messaging Lead planning and execution for monthly team meetings, leadership reviews, recurring field calls, quarterly offsites, and organizational events, including agenda development, presentation support, speaker coordination, logistics , materials, notes, and follow-up Coordinate and schedule recurring field calls and leader-led forums, ensuring effective communication, participant management, meeting preparation, and post-meeting follow-up. Track decisions, commitments, owners, and deadlines to reinforce accountability and timely execution. Monitor and coordinate completion of required compliance training, acknowledgments, and organizational requirements; maintain tracking reports, provide reminders, and support leadership visibility into team compliance status Coordinate domestic and international travel, itineraries, transportation, lodging, and related meeting logistics Prepare, submit , audit, and reconcile travel expense reports in accordance with company policies and timelines Maintain reports, trackers, compliance dashboards, organizational documents, contact lists, distribution lists, and shared resources using Microsoft 365 tools Collaborate closely with a team of Executive Administrative Assistants and cross-functional p artner s across Marketing, Operations, Commercial Excellence to coordinate leadership meetings, organizational events, communications, and shared business initiative Coordinate onboarding, recognition, employee engagement, team-building activities, and organizational communication initiatives that support culture, alignment, and change management efforts Handle confidential and sensitive business information, executive communications, and personnel matters with discretion and sound judgment Required Qualifications Six or more years of administrative or executive support experience, including support for senior leaders in a fast-paced environment Based in Lafayette, CO or North Haven, CT Preferred Qualifications Demonstrated experience managing complex calendars, meetings, travel, expenses, and confidential information Strong communication , organization, prioritization, attention to detail, and follow-through skills Seven or more years of executive administration experience supporting multiple senior leaders in a matrixed organization Advanced proficiency in Microsoft 365, including Outlook, Teams, PowerPoint, Word, Excel, SharePoint, and OneDrive Experience developing executive communications, presentations, dashboards, reports, and complex spreadsheets Experience managing internal communication channels, distribution lists, and collaboration platforms, including Microsoft Teams and SharePoint Experience coordinating leadership meetings, business reviews, field calls, monthly team meetings, quarterly offsites, and executive events Experience coordinating compliance tracking, reporting, and follow-up activities for leadership teams and employee populations Experience supporting commercial, marketing, operations, sales, or customer-facing organizations. Experience supporting communications, employee engagement, culture initiatives, or change management activities Proactive, adaptable working style with strong ownership, discretion, business judgment, and problem-solving skills Demonstrated ability to build strong partnerships and collaborate effectively within a team of executive administrative professionals to support leaders, shared priorities, and organizational initiatives For Baccalaureate degrees earned outside of the United States, a degree that satisfies the requirements of 8 C.F.R. § 214.2(h)(4)(iii)(A) is required. PR) locations (USD):$72,400.00 - $108,600.00 This position is eligible for a short-term incentive called the Medtronic Incentive Plan (MIP). The offered rate complies with federal and local regulations and may vary based on factors such as experience, certification/education, market conditions, and location.
