Executive Assistant, CEO

Job description

## **Who We Are** Pindrop is a cybersecurity company delivering continuous identity verification across voice, video, and digital interactions. Powered by the Pindrop Intelligence Network, our unified trust platform helps enterprises answer three critical questions: **Is this identity synthetic?** Detect AI-generated and manipulated voice and video. **Is this identity risky?** Identify fraud, suspicious behavior, and other risk signals. **Is this identity known?** Authenticate identities using voice, device, behavioral, and other signals. Pindrop brings this intelligence together across purpose-built trust engines to help organizations make informed decisions in real time — protecting customers, workforce interactions, and emerging AI-driven interactions. Pindrop protects billions of high-risk interactions for enterprises, including leading financial institutions, insurers, and healthcare organizations. Its technology is informed by more than 8 billion real-world interactions annually and protected by 300+ patents. Recognized by TIME as one of the 10 Most Influential Software Companies of 2026 and by Inc. for Best in Business for Innovation, Pindrop is backed by leading investors including Andreessen Horowitz, IVP, and CapitalG. ## What you’ll do We're hiring an Executive Assistant to support our CEO as a trusted partner and operational extension. This role is for a seasoned, self-directed professional who operates with sound judgment and executive presence, and who moves work forward without needing to be asked. You'll manage time, priorities, and communication so the CEO and leadership team can stay focused on what drives the most impact. The best partners in this role know what's needed before it's requested, make confident decisions within their remit, and keep the CEO's attention for the things that truly require it. Time and prioritization - Own the CEO's calendar with a clear understanding of business priorities, and make scheduling decisions independently rather than routing routine choices back for approval. - Protect focus time as a non-negotiable. When time is blocked, it stays blocked, and it is never converted into meetings without explicit direction. - Keep meeting load sustainable by challenging low-value requests, consolidating where possible, and maintaining a realistic daily rhythm that preserves energy and thinking time. - Design a lean, purposeful cadence of recurring touchpoints. Default to concise written updates over standing meetings, and reserve live time for topics that need the CEO's voice. Judgment and decision-making - Operate with delegated authority. When the CEO says to go ahead, you decide, act, and inform afterward. - Bring recommendations instead of open questions. When input is truly needed, present a clear point of view, the options considered, and the tradeoffs, so the CEO can approve in seconds. - Know the CEO's preferences, standards, and priorities well enough to make the call he would make. Scheduling, travel, and logistics - Coordinate complex domestic and international travel, agendas, and briefings end to end, with details resolved before they become questions. - Anticipate changes, resolve issues quickly and quietly, and ensure smooth transitions between engagements. Preparation and follow-through - Prepare meeting briefs, background materials, and talking points that are concise, insightful, and ready to use as delivered. - Deliver finished work, not drafts that need rework. Presentation materials, speaker notes, and executive documents should reflect strong design sensibility and attention to brand, down to the final detail. - Track decisions and action items to ensure consistent follow-up and accountability across the organization. Communication and relationship management - Draft and review internal communications that reflect the CEO's voice and intent with minimal editing. - Serve as a liaison between the CEO, executive team, board members, and external partners, exercising discretion and offering informed perspective, not just relaying messages. - Filter and prioritize inbound requests so the CEO sees what matters, when it matters. Operational effectiveness - Introduce lightweight systems that improve follow-through, communication, and visibility. - Create structure that helps the CEO and leadership team move quickly without added complexity or added asks of the CEO. Innovation and technology - Use AI and modern productivity tools to streamline workflows, summarize materials, and enhance decision-making. - Stay curious about new technology that can make executive operations smarter and faster. Confidentiality and trust - Handle sensitive information with discretion and professionalism. - Build trusted relationships across all levels of the organization and maintain confidentiality at all times. ## Who you are - A polished, composed executive partner with strong taste, sound judgment, and the confidence to hold and share a point of view. - Proactive by default. You anticipate needs, take the next step, and close loops without prompting. - Self-sufficient and decisive. You are comfortable making calls, managing ambiguity, and keeping momentum without frequent check-ins. - A skilled, efficient communicator who knows when to speak up and when to simply get it done. - Skilled at managing up: you guide the CEO's time and priorities diplomatically and hold boundaries that protect his effectiveness. - Comfortable balancing strategic support with hands-on execution. ## Your skill-set - 10+ years as an Executive Assistant, including at least 3 years supporting a CEO - Demonstrated ability to work independently with minimal direction and to exercise judgment on behalf of a senior executive. - Proficiency with Google Workspace and Microsoft Office, plus calendaring, travel, and expense systems. - Strong design and presentation sensibility; experience producing executive-ready materials. - Experience coordinating board or executive-level materials a plus. - Comfortable with occasional after-hours support tied to travel or urgent priorities. ## What’s in it for you As a Pindropper, you join a rapidly growing company making technology more human with the power of voice. You will work alongside some of the best and brightest. We’re a passionate group committed to excellence - but that doesn’t stop us from enjoying the journey as a team with chess and poker tournaments, catered lunches and happy hours, wellness programming, and more. Within 30 days, you'll - Learn the CEO's priorities, standards, communication style, and relationships. - Build trust through reliable follow-through and by taking early ownership of executive routines. Within 60 days, you'll - Establish a clear rhythm and structure around scheduling, meetings, and communication. - Manage priorities and resolve conflicts independently, escalating only what truly requires the CEO. Within 90 days, you'll - Fully own the CEO's operating cadence, anticipating needs before they surface. - Reduce the number of decisions and touchpoints the CEO needs to handle, while improving the quality of his time. ## What we offer As a part of Pindrop, you’ll have a direct impact on our growing list of products and the future of security in the voice-driven economy. We hire great people and take care of them. Here’s a snapshot of the benefits we offer: - Unlimited Paid Time Off (PTO) - Competitive compensation package, including RSUs (Restricted Stock Units) for all employees, so everyone shares in our long-term success. - Remote-first environment - giving you flexibility and autonomy in how you structure your day. - While we work flexibly, we prioritize meaningful in-person moments through regular team on-sites, company-wide events, and intentional gatherings that foster connection, collaboration, and shared success. - Generous health and welfare plans to choose from - including one employer-paid “employee-only” plan! - Best-in-class Health Savings Account (HSA) employer contribution - Low-cost vision and dental plans for you and your family, providing comprehensive coverage and peace of mind. - Paid Parental Leave - Including birth, adoptive & foster parents - One year of diaper delivery for your newest addition to the family!
