Job Description Where you’ll fit in & what our team goals are… In your role you will be the EA for Head of Investment Trusts and Team Secretary and Administrator for the Investment Trust and Private Equity Accounting team. How you'll spend your time... Provide highly confidential executive support to the Head of Investment Trusts, ensuring effective diary management and the seamless coordination of meetings, travel, and business commitments. Prepare and coordinate Board meeting materials, presentations, reports, and supporting documentation for the Investment Trust Client meetings. Arrange travel, accommodation, itineraries, and expense management for the Head of Investment Trusts and senior members of the wider team. Undertake or provide backup for certain administrative tasks supporting the Investment Trust and Private Equity Accounting team, ensuring processes run efficiently and effectively. Organise and coordinate a range of internal and external meetings, including client meetings, Board meetings, committee meetings, and senior leadership engagements. Act as a key point of contact for clients, advisers, business partners, and colleagues across the UK and global offices, maintaining professional and effective relationships. Manage the processing and tracking of invoices, ensuring timely submission, approval, and payment in line with internal procedures. Maintain and regularly update the department's Business Continuity Plans (BCP) and key contact lists to ensure operational readiness. Support departmental projects and initiatives, providing administrative and coordination support as required. Ensure the highest standards of professionalism, discretion, and confidentiality when handling sensitive business information. To be successful in this role you will have... Proven experience as an Executive Assistant, Personal Assistant, or Senior Team Assistant, ideally within financial services, asset management or a professional services environment. Exceptional organisational and time management skills, with the ability to manage multiple competing priorities, deadlines, and stakeholder requests in a fast-paced environment. Proactive and solutions-oriented, with the ability to anticipate needs, identify potential issues, and take initiative to ensure seamless support. Strong attention to detail and accuracy, particularly when handling sensitive, financial, operational, and compliance-related information.
