Financial Operations Specialist ( part time / 24 hours)

Job description

Ecochain is a fast-growing, purpose-driven B2B SaaS scale-up on a mission to make sustainability data accessible for 100M products by 2035. We build LCA (Life Cycle Assessment) automation platforms—Mobius and Helix—that help Industrial Manufacturers quantify, share, and reduce their environmental footprint with speed and scale. Founded in 2011 in the Netherlands, we're now a team of 50+ professionals serving Construction Products and Industrial Equipment manufacturers across Benelux, DACH, and beyond. Our customers trust us to turn complex impact data into actionable insights, enabling them to meet compliance requirements (CPR, EPBD, ESPR) and build more sustainable products. Our Values: We Care – We support our teammates, customers, and the planet We Share – We grow stronger by sharing knowledge, feedback, and success We Empower – We create space for people to lead, learn, and make a difference The Role As our Senior Financial Operations Specialist, you'll own the operational backbone of our financial administration—accounts receivable, the vendor invoice pipeline, and a clean, on-time month-end close. Reporting directly to our Financial Controller, you won't be assisting someone else's process. You'll own a domain outright, and your Controller will review your work rather than rebuild it. This is a deliberately designed 24-hour role. Not a full-time job squeezed into part-time pay, and not a stopgap—a permanent, well-organised position for someone who wants to do one thing properly rather than five things partially. What You'll Do Own accounts receivable end-to-end —customer billing, contract invoicing, credit management, and the AR aging overview. Run collections independently , following up past-due balances with a friendly, professional approach and resolving billing queries yourself. Manage the accounts payable pipeline —intake, approval routing, and submission of vendor invoices to our external accountant. Prepare weekly payment batches for approval , maintaining continuous oversight of what's unpaid. Code invoices accurately to the correct general ledger accounts and cost centres. Prepare routine monthly journal entries (accruals and revenue allocations) and perform balance-sheet reconciliations. Review P&L cost and revenue lines to verify correct period allocation. Keep the administration audit-ready as a matter of course, and support the Financial Controller on ad-hoc projects and process improvements. Reports to: Financial Controller Team: Finance (working closely with our external accountant, Customer Success, and Sales) Hours: 24 per week—three full days, or spread across four or five. You choose the pattern. What We Offer Compensation & Benefits Competitive Salary: Gross full-time salary of €3,500 – €4,500 per month depending on experience (based on 40 hours, pro-rated to 24 hours), plus 8% holiday allowance ( vakantiegeld ) Secondary benefits: Pension contribution, phone allowance, sports allowance Free lunch options in our Amsterdam-area office 100% public transport reimbursement or €0.25/km for own vehicle Purpose & Impact Mission-driven work: Enable 100M products to share sustainability data by 2035 Real-world impact: Clean, well-run administration is what frees up capacity for the mission-driven work everyone else here is doing. Cash collected on time is cash that funds the next release B Corp employer: We're measured on our impact, not just our margins Growth & Development Scale-up phase: We're growing—be part of the journey High ownership: Influence how our financial processes are designed, not just how they're executed Career path: Grow through scope—ownership of the close calendar, the AP approval design, supplier terms. If the role outgrows 24 hours, we'll have that conversation honestly Learning culture: Product training, cross-functional exposure, and sustainability context you won't get in a traditional finance department Work-Life Integration Genuinely flexible hours: 24 per week, structured around your life. We plan around your pattern, not the other way around Hybrid working: Office presence during close week, otherwise your call Protected time: When you're off, you're off. You are not expected to monitor emails, Slack, or check in on days you aren't working Trust-based culture: High autonomy with clear accountability and support Inclusive team: International team of 50+ colleagues who live our values (We Care, We Share, We Empower) How to Apply Submit your application including your Resume/CV and a Cover Letter . We read the cover letter first, and we'd love for you to answer three quick questions directly: The full cycle you've owned: Walk us from a customer signing to the accountant filing. Be specific about where your responsibility started and stopped. A balance you recovered: Tell us about a past-due balance you recovered from an unhappy customer. What did you say, and what happened to the relationship afterwards? Managing a 24-hour week: How do you organize your work across 24 hours so that routine deadlines (like month-end or payment runs) are met smoothly without urgent tasks getting stuck on days you're off? Three short paragraphs are plenty. Specific beats polished—we'd rather read one real story than three pages of adjectives. Interview Process We move quickly for the right candidate: Screening Interview – Financial Controller (30 min): Culture fit, ownership experience, motivation, and how a 24-hour week fits your life. Working Interview – Financial Controller (90 min): A live case using real, anonymised material from our own administration, plus a short take-home assignment (capped at 3 hours, and paid). Final Interview – CEO (30 min): Vision alignment, long-term commitment. What We're Looking For Must-Haves: Full-cycle ownership: Proven track record in bookkeeping, financial administration, or financial operations where you've owned a complete financial administration alongside an external accountant. Accounting know-how: Solid understanding of general ledger mechanics, double-entry bookkeeping, accruals, and reconciliations. Collections capability: You chase money by picking up the phone, and you keep the relationship intact while you do it. Tech-savvy: Comfortable with cloud accounting platforms (e.g. Exact, AFAS, NetSuite) and Excel. Languages: Fluent in English and Dutch, written and spoken—including phoning a customer about money in either. Self-starter mentality: You manage your own schedule and follow up on details independently. Strong Preferences: Scale-up or SaaS experience—particularly recurring billing (proration, mid-term upgrades, monthly-to-annual conversions) Experience working alongside an external accountant rather than inside a large finance department Company size of roughly 30–150 people—big enough for real volume, small enough that you owned it B2B invoicing to international customers across multiple countries and currencies Dutch professional qualifications (PDB, MBA Moderne Bedrijfsadministratie, MBO/HBO bedrijfsadministratie) Having been through an audit or due-diligence process from the administration side Who Will Thrive in This Role? YOU'RE A GREAT FIT IF: You've owned a complete financial administration and can describe exactly where your responsibility started and stopped You take genuine pride in clean accounts—being audit-ready is just how you work, not a project you run in January You treat collections as a relationship job with a number attached, not as sending reminders You're clear and outcome-focused: you appreciate having simple, transparent goals so you always know what success looks like You want a permanent, well-organised 24-hour role that fits your life, and you're not looking to grow out of it next year You'd rather fix the cause of a recurring problem than get faster at handling it You're willing to tell a colleague—including a senior one—that a number or a contract term is wrong YOU'RE NOT A FIT IF: You've only ever been one specialist inside a large finance department—this role has nobody to hand work to You need fully remote work (we need you in the Amsterdam office during close week) You want to move into controlling or FP&A within a year—this is a permanent operations role and that ambition will frustrate you You're looking for a bonus—there isn't one here, deliberately You expect a full-time workload to be squeezed into 24 hours, or you expect 24 hours to mean 32 You view part-time as "less accountability" rather than "same ownership, fewer hours" About Ecochain's Culture We're a diverse, international team committed to fostering an inclusive environment where every team member is valued for their unique perspectives. We believe in: Transparency: Open communication, shared wins and mistakes, honest feedback Empowerment: Trust over micromanagement, ownership over task execution Care: Support for teammates, customers, and the planet—always Accountability: Clear expectations, regular check-ins, and data-driven decision-making If you're ready to combine precise, well-run financial operations with meaningful, planet-positive work, we'd love to hear from you. Ecochain is an equal opportunity employer. We celebrate diversity and are committed to creating an inclusive environment for all employees.
