Job Function: Non-Standard Job Sub Function: Fixed Term Employee Job Category: Non-Standard All Job Posting Locations: Chiyoda, Tokyo, Japan Job Description: Responsibilities: Performs numerous diversified secretarial, clerical, and administrative duties and responsibilities for the Executive. Duties may include normal secretarial activities such as typing, correspondence, word processing, scheduling appointments, etc. Also coordinate and assist in preparing associated business reports. Process all communications, including phone calls, email, correspondence, memos, meeting minutes, mail, and faxes. Visitor attendance, Coordinate logistics for domestic and international visitors Prepares agendas and materials for executive meetings. Establishes and maintains support systems for structuring priorities necessary to the Executive. Assist in managing the executives schedule to include scheduling meetings and appointments as well as overseas business trip logistics and itinerary. Supporting other departments based on instructions, arranging and preparing company-wide events. Handles confidential matters requiring discretion and judgment. Acts as liaison with other departments and outside agencies, including senior level management. Expense reimbursement, Receipt Filling Supports associated with expats (such as providing cultural understanding, emergency support for family, act as liaison between expat and local employees) Manage common resources for all CE(Commercial Excellence) team (e.g, shared locker, DL(mailing-list) etc.) Meal ordering for meetings Support CE teams in events and meetings All other duties as assigned. Requirements: 5 years or more of working experience in multinational company as assistant to executive Standard skilled in MS application especially Excel, PowerPoint, Word. Fluent in English (writing, reading, speaking) Native level in Japanese (writing, reading, speaking) Ability to quickly learn the company system and operation. Ability to prioritize the important agendas and manage the calendars of executive effectively, ensuring confidentiality. Understanding of the foreign culture and be able to communicate with related stakeholders smoothly. Preferences: Detail-oriented, organized, supportive, collaborative, fast-paced, trustworthy approachable, Previous experience of supporting executives / C-suite (experience of supporting foreign expats is a plus) Contract period: 1 year ＜For Internal Applicants＞ Based on your experience and interview evaluation, the position title and level may vary.
