We're looking for talented, driven individuals who want to grow with us. **Role Summary** In this role, you will support the Legal Affairs & Regulatory Compliance Department through legal and regulatory research, regulatory monitoring, routine corporate and regulatory filings, matter management, and support of insurance regulatory and operational matters. The position works closely with the General Counsel, Compliance Paralegal, and Senior Compliance Associate and regularly interacts with business areas throughout the Company. This role is intended for a developing paralegal who is comfortable reading and understanding statutes, regulations, regulatory guidance, and legal documents; conducting research; preparing clear written summaries; and independently managing recurring responsibilities under established procedures. The position also plays an important role in identifying matters that require additional legal or compliance analysis and escalating those matters appropriately. The Paralegal carries primary responsibility for many of the Department's recurring administrative and coordination functions. However, administrative support is a shared departmental responsibility, and all members of the Department are expected to assist with administrative and operational needs as workload and priorities require. This position is in Frankfort, KY and is onsite five days a week. **Job Responsibilities:** - **Legal & Regulatory Research and Monitoring** - Monitor state insurance departments, ACLI, NAIC, and other approved sources for new or amended statutes, regulations, bulletins, and other regulatory developments. - Identify developments potentially applicable to the Company and summarize and disseminate relevant changes to the Compliance Paralegal for further analysis and determination of operational impact. - Prepare and distribute the weekly Legal & Regulatory Bulletin and maintain appropriate regulatory-development tracking. - Conduct first-pass research of statutes, regulations, regulatory guidance, policy provisions, and other authorities in response to Legal and Compliance questions. - Prepare concise research summaries identifying relevant authority and issues for review by the Compliance Paralegal or General Counsel. - Conduct multistate regulatory surveys and prepare comparison charts regarding state-specific requirements. - Conduct follow-up research regarding regulatory developments or Legal/Compliance questions as assigned. - **Legal Intake & Policy Administration Support** - Monitor and triage incoming Legal requests and assist in identifying matters requiring immediate or substantive review. - Gather policy records, transaction histories, correspondence, and other information necessary to evaluate Legal matters. - Prepare factual summaries and chronologies to facilitate review by the Compliance Paralegal or General Counsel. - Review routine powers of attorney, guardianship and conservatorship documents, assignments, and similar documents under established procedures and guidance. - Identify and escalate unusual authority, drafting, jurisdictional, or policy issues. - Track Legal matters, assignments, deadlines, and follow-up through the Department's matter-management system. - **Complaints, Regulatory Inquiries & Fraud Matters** - Intake and track consumer complaints, regulatory inquiries, suspected fraud matters, and other matters referred to Legal/Compliance. - Support investigations of suspected fraud or unauthorized activity through records collection, factual development, and initial research regarding applicable reporting requirements. - Track response deadlines, outstanding information, and action items and escalate substantive issues for further review. - **Producer & Agent Reviews** - Conduct background and appointment reviews involving producers and agents. - Research licensing, disciplinary, criminal, financial, or other issues identified through the review process. - Request and review letters of explanation and supporting documentation in accordance with established procedures. - Process routine matters under approved guidelines and prepare matters requiring additional judgment for review by the Compliance Paralegal or General Counsel. - **Routine Regulatory & Corporate Filings** - Prepare, coordinate, and submit recurring regulatory, licensing, corporate, and governmental filings in accordance with established requirements and procedures. - Maintain filing calendars and ensure assigned filings are completed accurately and timely. - Gather information, certifications, signatures, and supporting documentation necessary to complete filings. - Prepare recurring state insurance department filings, annual and periodic reports, governmental surveys, and similar submissions. - Assist with routine IHLIC and Via entity, licensing, and holding-company filings under the direction of the Senior Compliance Associate. - Maintain appropriate records of submissions, confirmations, approvals, and regulatory correspondence. - Identify changes in filing requirements, regulator questions or objections, or other issues requiring additional review by the Senior Compliance Associate, Compliance Paralegal, or General Counsel. - **Subpoenas & Legal Process** - Receive, review, log, and track subpoenas, garnishments, court orders, and other routine legal process. - Calendar response deadlines and coordinate collection of responsive records from business areas. - Prepare routine acknowledgments and responses using established procedures and approved templates. - Maintain subpoena and legal-hold records. - Identify and escalate substantive, unusual, or time-sensitive matters for further review. - **Policies, Procedures & Regulatory Implementation Support** - · Support the Compliance Paralegal in the development and maintenance of the Legal/Compliance policy and procedure library. - Conduct research and gather information necessary to support development and revision of policies, procedures, SOPs, checklists, and operational guidance. - Update approved procedures, forms, checklists, and guidance and maintain appropriate version and approval records. - Assist with tracking implementation of new or revised regulatory requirements by affected business areas. - Assist with development and maintenance of training and operational materials. - **Department Operations & Administrative Support** - Provide day-to-day administrative support to the General Counsel and Department, including calendar management, meeting scheduling, and coordination of departmental activities. - ·Prepare and finalize legal, regulatory, and corporate documents for signature, filing, or submission, including formatting, proofreading, assembling supporting materials, obtaining signatures, and maintaining final records. - Handle routine departmental communications, including phone calls, mail, faxes, and correspondence, and route matters to the appropriate team member. - Maintain meeting agendas, materials, notes, and other departmental records in an organized and accessible manner. - Track the General Counsel’s and Department’s assignments, deadlines, follow-up items, and other outstanding matters through completion and closeout. **Required Skills & Abilities:** - Bachelor's degree or Paralegal Certificate required; an equivalent combination of relevant education and experience may be considered. - Minimum 3 years of paralegal, legal, regulatory, compliance, insurance, or financial-services experience preferred. - Ability to read, understand, and summarize statutes, regulations, regulatory guidance, and legal documents. - Demonstrated research and analytical skills, including the ability to identify relevant requirements and distinguish routine matters from issues requiring additional review. - Strong written and verbal communication skills, including the ability to prepare clear, concise summaries, correspondence, and preliminary drafts. - Strong organizational and time-management skills with the ability to manage recurring responsibilities, multiple assignments, and regulatory deadlines. - High level of attention to detail and accuracy, particularly in preparing regulatory filings and maintaining compliance records. - Ability to work independently within established procedures while exercising appropriate judgment regarding when to seek additional guidance. - Ability to communicate effectively and professionally with internal business areas, regulators, outside parties, and other stakeholders. - Proficiency with Microsoft Office applications and ability to learn and effectively use legal, regulatory filing, and matter-management systems. - Ability to handle confidential and sensitive information with discretion. -
