Job description
Role purpose Provide high quality support to office administration, diary management, travel arrangements, stakeholder management, finance administration and reporting of the Chief Executive Officer in a way that enhances the efficiency, reputation and credibility of the CEO office. The role reports to the Chief Executive Officer Band /TW: Senior Specialist/TW9 Vodacom DRC welcomes applications from candidates without discrimination and embraces diversity and inclusion. Key activities Office Administration Ensure all meetings are correctly booked, agendas distributed, and critical information shared to relevant persons. Ensure screening of telephone calls, filing of hard and electronic documents, and confidentiality of documentation and information. Ensure visibility of suppliers, partners and other visitors wishing to meet the CEO. Ensure incoming mail is handled within the 24-hour SLA and routed to relevant departments. Diary Management & Travel Arrangement Ensure meetings and events are accurately managed in the CEO diary and confirmed on time. Coordinate closely with the Chief of Staff on monthly meetings. Manage CEO travel arrangements including flights, hotels, protocol and transport. Ensure alignment in communication, follow-up and logistics. Manage services and invoices related to key external VIP stakeholders. CEO Office Support Manage staff in the CEO office. Manage stationery, refreshments, IT equipment and office maintenance. Finance Administration Handle financial transactions according to company Delegation of Authority. Manage and monitor the CEO office budget. Ensure timely reconciliation of advances. Reporting Ensure executives submit operational reports on agreed timelines. Competency Drivers High planning skills and proactiveness High attention to detail and quality consciousness Execution skills with minimal supervision Problem solving, research and creativity Reliable Good communication and interpersonal skills Technical Expertise Very good computer skills: Word, Excel, PowerPoint, email and Internet Proficient in English and French Report writing skills and excellent diction Qualifications and Experience Minimum Bachelor degree in Administration or related field Minimum 5 years of progressive experience as an Executive PA Budget management experience is a plus
