KEY RESPONSIBILITIES
Project Support & Coordination
- Support Project Managers across multiple concurrent retail, hospitality and commercial fitout projects nationally
- Maintain project programs, schedules and trackers – keep information current and flag risks early
- Coordinate trade bookings, site access and logistics in line with project programs
- Liaise with the Gold Coast joinery factory to track manufacturing status and align delivery timelines with site programs
- Manage procurement and supplier coordination – raise purchase orders, track deliveries, resolve shortages
- Prepare and distribute project documentation: site instructions, variation registers, RFIs, defect lists and handover packs
- Assist in preparation of project programs using scheduling tools
Client & Stakeholder Communication
- Maintain clear and timely communication with clients, subcontractors, suppliers and site teams
- Assist in preparing client-facing reports, progress updates and meeting minutes
- Support the PM in managing client expectations throughout the project lifecycle
- Build positive relationships with brand managers, property teams, architects and designers
Compliance & Administration
- Manage SWMS, induction registers, site safety records and Cm3 compliance documentation
- Ensure shopping centre and landlord compliance documentation is lodged and current
- Assist with building permit applications, council submissions and certification coordination
Maintain project files and CRM/project management system records (Nexvia experience a bonus)
Requirements
ABOUT YOU
Essential
- 2-4 years’ experience in a project coordination, contract administration or site administration role within construction, fitout or shopfitting
- Strong organisational skills – you manage competing priorities without dropping the ball
- Clear, confident communicator across trades, clients and senior management
- Comfortable working across multiple live projects simultaneously in a fast-paced environment
- Proficiency with Microsoft Office, project scheduling tools and digital reporting platforms
- Current White Card and valid driver’s licence
- Willingness to travel interstate for site visits as required
Desirable
- Direct experience in retail fitout, shopfitting or hospitality construction
- Familiarity with Nexvia project management software
- Understanding of shopping centre compliance requirements and night works environments
- Knowledge of joinery manufacturing and supply processes
- Cert IV in Building & Construction or Project Management qualification
