About the Role
As an Immigration Paralegal, you'll build and maintain digital case files, draft USCIS forms and exhibit lists, input and track case data across cloud-based platforms, and coordinate client communications by email and video call. You'll join scheduled attorney calls to take notes and surface case details in real time, and support petition assembly under attorney direction.
Core Responsibilities
Case File Building & Maintenance
- Build and maintain digital and physical client files in SharePoint
- Save, name, and organize documents received via email per firm naming conventions
- Input and update case data across Salesforce (customized) and Docketwise
- Maintain accurate file structure across active case lists
USCIS Form & Document Drafting
- Draft government forms (basic immigration filings)
- Prepare exhibit lists for petitions
- Prepare notice of filing and public access file documents
- Support petition assembly under attorney / senior paralegal direction
Client Communication & Coordination
- Send reminders, confirm receipts, update clients on case status
- Coordinate document gathering from clients via email
- Join Zoom calls with attorneys (taking notes, surfacing case-specific info on cue)
- Handle scheduling and basic non-legal client questions; escalate all legal questions to attorneys
Tool & Process Mastery
- Operate fluently in Microsoft 365, Teams, Adobe, Salesforce, Docketwise, SharePoint
- Use AI tools (Claude, Perplexity) for drafting and research support
- Follow firm's training matrix and progress tracking
- Adapt to platform changes (Docketwise transition planned)
Continuous Learning
- Read into immigration law via firm's digital law library
- Self-direct learning across visa categories (A–Z)
- Track USCIS policy updates relevant to active casework
Requirements
Must-Have
- 1–3 years of administrative, operations, legal support, or office experience
- Proficiency with Microsoft 365 (Outlook, Excel, Word) and Adobe Acrobat for document preparation and handling
- Hands-on experience with cloud-based CRM and document management platforms (e.g., Salesforce, SharePoint, or comparable)
- Experience preparing, organizing, and reviewing documents for completeness and accuracy before submission
- Experience coordinating client communication through email and video calls (e.g., Zoom, Microsoft Teams)
- B2+ English (CEFR) for direct, client-facing written and verbal communication
Nice-to-Have
- Prior U.S. immigration law or USCIS-related experience
- Familiarity with immigration or legal case management systems (Docketwise, Litify, or Neos)
- Previous law firm experience in any practice area
- Spanish fluency in addition to English
