Provide administrative and HR operational support to ensure efficient office operations, effective vendor management, seamless company activities and events, and a positive workplace experience that supports business objectives . <1.Office> Administration & Facilities Management (50%) Manage daily office administration, workplace facilities, office supplies, reception, and support services. Coordinate with building management and service providers to ensure a safe, efficient, and well-maintained workplace. Oversee office maintenance, renovation, relocation, and workplace improvement projects. Monitor administrative expenses and maintain related records and reports. Support office security, access control, emergency preparedness, and business continuity initiatives. Coordinate Health, Safety & Security (HSS) activities and prepare periodic reports as required. Coordinate procurement activities, including quotations, purchase requests, contracts, service quality, contract renewals and payment processing related administration for HR and Admin services. Ensure procurement activities comply with company policies, governance requirements, and approved budgets. 2. Company Activities & Corporate Events (20%) Plan and organize company activities, employee events, town halls, celebrations, and engagement initiatives. Coordinate event logistics, communications, vendors, and budgets. Support initiatives that promote company culture and employee experience. 3. Meeting & Business Support Coordination (15%) Arrange internal and external meetings, including meeting rooms, catering, visitor management, and virtual meeting support. Coordinate business travel, accommodation, transportation, and logistics for business visitors when required. Support management meetings, regional visits, and business events in a professional and timely manner. 4. HR Operations Support (15%) Support interview scheduling, onboarding, offboarding, learning programs, workshops, and HR initiatives. Maintain HR and administrative records accurately and confidentially. Provide backup support to the HR & Admin team and perform other duties assigned by the line manager.
