Senior Operations Specialist, Contracts & Vendor Management

Job description

Senior Operations Specialist, Contracts & Vendor Management Location: Anywhere in the continental US, with the ability to travel up to monthly (quarterly for company summits plus periodic in-person sessions and school visits) Join our mission to transform elementary math! We’re looking for a Senior Operations Specialist who is passionate about the details that keep a growing organization running smoothly. You’ll own our contract lifecycle - tracking every agreement from draft to signature to renewal, and digging into redlines with a sharp eye - while also managing the vendor relationships behind our printing and physical material operations. Both sides of this role draw on the same core strengths: attention to detail and the ability to represent Inflection Point Learning well to the schools, districts, and vendors we work with. We need someone who reads the fine print for fun, who finds satisfaction in a well-organized system, who uses AI to increase efficiency and transparency, and who builds the kind of trusted relationships with vendors and internal partners that make hard problems easier to solve. Our vision Welcome to Beast Classroom, where students delight in mathematical challenge - playing games, solving puzzles, and exploring rigorous content that demands flexible, creative thinking; where teachers are energized and empowered to teach math; where principals stop by and smile at the signs of a budding math culture; and where there is no ceiling for math excellence. Our mission At Beast, we’re on a mission to bring this experience to teachers in elementary schools everywhere. We’re building Beast Classroom , a K-5 math curriculum based on the beloved Beast Academy comic universe and the rigorous Art of Problem Solving pedagogy that has trained the world’s top math students for a generation. Why we need you We have the foundational pieces in place: a pedagogy rooted in deep problem-solving, a growing community of early-adopter educators, and mission-aligned backers. We’ve built a talented team on a foundation of transparency, trust, and deep care. As we grow, our contract and physical material operations are growing more complex right alongside us: more agreements to track and negotiate, more print runs and shipments to coordinate, more vendors to manage. And as schools rethink how much screen time belongs in the classroom, our physical materials have never been more important. We need a Senior Operations Specialist who can bring order and rigor to both areas: someone who can read a contract closely enough to catch what matters, keep every agreement moving without anything slipping through the cracks, and partner closely with our printing and fulfillment vendors so all of our materials reliably show up where they need to be, on time and at quality. As we scale, we expect this role to evolve, taking on more responsibility in these and potentially new areas as needs arise. What you’ll do In this role, you will: Own contract lifecycle management: Track contracts, vendor forms, and procurement processes from intake through negotiation, redlining, execution, and renewal. Build and maintain the systems that make sure nothing falls through the cracks - key dates, obligations and related timeframes, renewal windows, and approvals. Redline with precision: Review incoming contracts and agreements closely, flag risk and non-standard terms, and coordinate redlines with internal stakeholders. Bring a genuine appetite for reading dense documents carefully. Be the face of our vendor relationships: Serve as the primary point of contact for our print and fulfillment vendors - from quoting and scoping print runs to troubleshooting quality or delivery issues as they come up. Build the kind of relationships where problems get solved before they become crises. Drive process and system improvement: Identify gaps or inefficiencies in how we track contracts and manage vendors, and build and refine tools that scale as we grow. Who you are You’re detail-oriented almost to a fault. You catch the clause others skimmed past and take real satisfaction in getting the details right. You’re organized, proactive, and systems-minded. You build (or find) tools and processes that hold up as volume grows, not just for today’s workload. You’re genuinely excited by vendor relationships and logistics - you like figuring out how products move from a vendor’s print floor to a classroom and you enjoy being the person who makes that handoff smooth. You build trusting relationships easily and use them well. You’re personable, responsive, and straightforward, and you represent us well to the outside world. You communicate clearly and directly, whether you’re redlining a clause or taking a vendor through a missed deadline. All candidates must have Education: A bachelor’s degree. We care more about how you think and communicate than your specific major. Experience: 3+ years in a role involving contract administration, vendor management, procurement, supply chain, or operations - ideally with exposure to more than one of these areas. Technical skills: Proficiency with office productivity tools (we use Google Workspace); comfort with contract tracking or project management tools; experience with logistics/supply chain workflows/tools is a plus. Exceptional candidates may have Legal or contracts background : Direct experience negotiating and redlining commercial agreements. Vendor management experience: Direct experience managing print or physical goods supply chains, ideally in education or a similarly deadline-driven industry. Operational scaling experience: You’ve lived in the fluid world of a small company and brought order to it, including building tools and processes using AI. Product experience: You’ve worked closely with internal stakeholders to balance product and customer experience goals with feasibility and cost-effectiveness. Additional information about the position Work authorization: Applicants must be authorized to work for any employer in the U.S. Salary range: $95,000 – $110,000 + equity Key benefits: Private health, dental, vision, and life insurance; paid time off, including a winter holiday shutdown; 401K plan; flexibility-first culture.
