This role is instrumental in building a scalable, high-performance luxury real estate brokerage under the prestigious Christie's brand. As a key operational support professional, you will help ensure that our offices deliver consistent, compliant, and efficient support to agents and clients. You will play a pivotal role in integrating systems and processes across locations while driving a culture of operational excellence and continuous improvement. A key focus of this role is to establish repeatable and standardized contract administration practices across all offices. Key Responsibilities Operational Standardization Develop and enforce comprehensive Standard Operating Procedures (SOPs) for contract administration, transaction management, and compliance functions across all offices. Take responsibility for contract-related tasks, including pre-contract investigations, contract drafting and management, and procedures through to transaction completion. Regulatory Compliance Ensure full compliance with Japanese real estate laws and Christie's International Real Estate brand standards. Proactively manage contractual timelines and support risk mitigation. Performance Management Establish, track, and report on Key Performance Indicators (KPIs) and Service Level Agreements (SLAs). Support optimal operational performance and service quality across the business. Technology Implementation Oversee the rollout and adoption of key platforms and tools, including CRM systems, listing platforms, and compliance checklists. Drive greater efficiency and scalability through the effective use of technology. Strategic Expansion Support Support new market entries in line with company growth objectives. Assist with licensing procedures, renewals, regulatory preparedness, and related compliance requirements. Corporate Liaison Serve as a key interface with H2 Group's Finance, Legal, and IT departments. Coordinate cross-functional support for Tokyo operational goals. Qualifications 5+ years of experience in real estate operations, preferably in a multi-regional or international setting. Strong understanding of Japanese real estate law and regulatory frameworks. Proven track record of implementing scalable operational systems and processes. Experience with CRM platforms, digital signature tools, and real estate transaction technologies. Excellent communication and leadership skills, with the ability to work effectively across geographically dispersed teams. Strong project management and change leadership capabilities. Japanese proficiency is mandatory; bilingual proficiency in English and Japanese is preferred. A valid Real Estate Transaction Specialist licence is required.
